Childcare Setting Registration Policy
Purpose
The purpose of this policy is to outline the procedures, requirements, and responsibilities regarding the registration process for children attending Golftyn After School club. Our goal is to ensure that all children are enrolled in a timely and secure manner while maintaining a safe and well-organized environment for both children and families.
1. Eligibility for Registration
To register a child at Golftyn after school club, the following criteria must be met:
- The child must be within the designated age range for our club (e.g. ages 3-11).
- The child/children must attend Golftyn C.P School
- Parents or guardians must provide all necessary documentation required for registration (see below for details).
2. Registration Process
- Initial Inquiry
Parents or guardians must contact the childcare centre via phone, email, or register via the google sheet available on www.Golftyncp.wales. - Submission of Forms
Parents/guardians must complete the following forms:- Child Registration Form (including child’s personal details, medical information, emergency contacts)
- Parent/Guardian Agreement Form (agreement to Golftyn after school club’s policies and rules).
- Program Availability and Placement
Enrolment is subject to the availability of spaces at the setting. If there is no availability at the time of registration, parents/guardians may be placed on a waitlist. - Confirmation of Enrolment
Once the completed registration forms and fee have been received, and a spot is confirmed, parents/guardians will receive an email confirming their space.
3. Payment and Fees
- Fees:
Club Fees must be paid according to the payment policy at the time of registration. Fees must be paid in full at the time of booking or according to the agreed-upon payment plan to secure ongoing enrolment.
4. Changes to Registration
Changes in Child’s Information:
Parents/guardians must promptly notify Golftyn After school club of any changes to their child’s health, emergency contacts, or other important information that may affect care.
6. Confidentiality and Privacy
- Confidentiality:
Golftyn after school club will keep all registration and personal information confidential and will only share information as necessary with authorized individuals (e.g., emergency contacts, healthcare providers). - Privacy:
Parents and guardians are responsible for updating any changes to personal information, including emergency contacts, health records, and special needs. This information will be stored securely and will not be disclosed without consent, except where required by law.
7. Equal Opportunity Enrolment
Golftyn After School club operates on a non-discriminatory basis and welcomes children and families from all backgrounds. Enrolment is open to all children without regard to race, colour, national origin, gender, disability, or religious affiliation, in compliance with applicable laws and regulations.
8. Right to Refuse Enrolment
Golftyn After school club has the right to refuse enrolment or discontinue care for any child based on:
- Non-compliance with health and safety requirements
- Incomplete or falsified registration documents
- Behavioural concerns that are deemed a risk to the child, other children, or staff
- Unpaid fees or non-compliance with the program’s policies
9. Policy Updates
This Registration Policy is subject to change. Any changes to the registration process or requirements will be communicated to parents/guardians in advance.
